Guide 02 · Drawing readiness
Prepare drawings for quantity takeoff
A useful AI takeoff begins with a readable, consistent and complete drawing set. File quality and project context affect what can be interpreted.
Best starting point: use native PDFs exported directly from the original drawing source, not scans. Poor-quality or scanned files can produce inaccurate quantities or no usable results.
1. Export a native PDF from the source
Where possible, export the drawings directly from the authoring or document system as PDFs. Native exports generally preserve text, lines and drawing detail more clearly than a scan of a printed sheet. Avoid phone photographs, compressed screenshots and files that have been repeatedly resized or recompressed.
A scan may be the only available copy, but scanning can blur fine linework, obscure dimensions or distort the sheet. Poor-quality or scanned files can result in inaccurate output or no results at all. Inspect the PDF at normal and enlarged view before uploading.
2. Check legibility and scale information
- Confirm drawing titles, notes, dimensions, symbols and linework can be read without guesswork.
- Check that the sheet has not been cropped, skewed, stretched or reduced so far that details disappear.
- Keep scale labels, dimension strings and other context that helps interpret the drawing.
- Do not assume a printed or displayed scale is reliable if the file has been resized; verify dimensions against the drawing information.
3. Keep revisions and versions consistent
Use the current issue of each drawing and check revision identifiers, dates and status where shown. Avoid mixing superseded sheets with current ones. If a project uses multiple drawing packages, make clear which package is intended for the takeoff and resolve conflicting versions before analysis.
4. Include a complete, relevant set
Provide all relevant sheets and supporting information for the scope being considered. Depending on the project, that may include plans, elevations, sections, details, schedules, general notes and specifications. A missing sheet or a detail held in another document can leave gaps or affect how an item is interpreted.
Do not assume completeness. Automated analysis can only work with the information supplied and may not identify every omission or conflict. A polished-looking output is not proof that the source set was complete.
Before you upload
- Prefer source-exported, native PDFs over scans.
- Open each file and inspect text, dimensions and fine details.
- Confirm scale information and drawing orientation remain clear.
- Check that revisions match across the full package.
- Confirm all sheets relevant to the intended scope are present.
Even with a well-prepared set, generated quantities are not certain and must be checked against the source. For an overview of the process, read what AI quantity takeoff is, or see how professional review can fit.
